Help - Business Process Automation

I'm a FluentCRM newbie - so apologies for potentially stupid questions. We are a Non-Profit organisation. Part of that requires regularly updating documentation.

In essence, I want to email the directors every 90 days; the existing documents (in google drive) are automatically moved to an archive, and they submit new documentation.

1) Is this possible?

2) I would prefer to move away from Google Drive. Is it possible to restrict viewing of those submissions to only a group of certain people?

For the email: If it's the same folder link you can set up a recurring campaign to remind them. The email would include the link to the google drive folder.

For documents: Google drive is the file cabinet, whereas Fluent CRM is the post office. They are two separate functions. So yes, you will still have to manage who has access to the file cabinet (Google Drive) separately.

You can automate the processes: If you use something like FlowMattic, you can set up automations for all the things you want to do but that will take a bit of learning and setting up several things: the Google Drive integration, automation for archiving the documents, automation for adding access to folder (I'd use Fluent CRM tags to control this), automation for removing access to the folder. Although, that seems like a fair amount of work to set everything up when it's relatively simple to implement to begin with. Unless you have a lot of turn over and are constantly adding and removing people that have access to documents.

PS I set up a system for quarterly docs for a non-profit years ago (before Google Drive & Fluent CRM) 😝. It wasn't as easy back then.
