Private notes with ai sync with fluent booking and CRM.
I was checking out the new private notes feature, and it looks amazing! It could save me money by letting me stop paying for other programs I currently use; however, to make that work, I need to integrate it with a tool that takes notes and generates summaries using AI. Whenever I meet with a client, I use AI to automatically generate a note and save it to my digital case management system. Is there a way to synchronize thisβperhaps via Make, MCP, or another platformβso that a note is generated and saved to these private notes (and added to the user's CRM) while the session is in progress? I also have Plaud AI, in case that helps achieve this.
Yes , this should be possible, and I actually started looking into this quite a while ago.
We had the workflow basically ready, but at the time there was one important limitation: notes were not being saved/rendered as HTML, so the AI-generated summary ended up as one long block of text, which made the note pretty unusable.
Now that HTML works properly in private notes, this becomes much more interesting.
In theory, you could have something like:
AI note takerβ Make, Zapier, MCP, agent or webhook β FluentBooking private note
Then, if you choose to also publish/copy that note to FluentCRM, you can keep it on the contact record as well.
The main thing you need to solve is identifying the correct booking, ideally using the attendee email + meeting date/time, or the booking ID/hash.
Also, since we are talking about this, there is a small bug/limitation worth mentioning: if you create a private note in FluentBooking and choose to also add it as a note in FluentCRM, deleting the note later from FluentBooking does not delete the copy from FluentCRM.
So yes, I think the workflow is now much more usable than before. Iβd still love to see this become a native FluentBooking/FluentCRM automation action someday: βAdd private note to bookingβ, with SmartCode support.
