🚩Receipt vs Invoice is confusing: please clarify the workflow and templates
Hi FluentCart team,
While configuring FluentCart on a real staging store, I found the current receipt/invoice workflow confusing.
From the Orders screen, the action labelled “View Receipt” does not open a receipt or PDF. It opens the public order-confirmation page (/confirmation/?order_hash=...). From there, the customer can download a “Receipt”, but that download uses the Fluent PDF “Order Receipt” template.
At the same time, Fluent PDF provides a separate “Invoice” template described as the formal invoice for business transactions. We customised that Invoice template expecting it to be the document customers would receive or download. However, the normal post-purchase and customer-dashboard flow downloads the Order Receipt template instead, so changes made to the Invoice template do not appear there.
The documentation adds to the ambiguity by describing “Download Receipt” as a PDF version of the official invoice. If the receipt is the official invoice, why are there separate Order Receipt and Invoice templates? If they are different documents, where is the Invoice template actually used and how can store owners or customers access it?
I do not think a receipt is necessarily less complete in every jurisdiction, so the core issue is not simply the amount of data. It is the absence of a clear distinction and a predictable workflow.
Suggested improvements:
- Rename the current admin action to “View order confirmation”, because that is the page it opens.
- Add direct “View/Download Invoice” and, if relevant, “View/Download Receipt” actions in the order admin.
- Let store owners choose which PDF template is the official document customers download after purchase and from My Account.
- Make the customer-facing label configurable: “Download invoice” or “Download receipt”.
- Show clearly where each Fluent PDF template is used: email, confirmation page, customer dashboard, admin, renewals, etc.
- If Order Receipt and Invoice are intended to be the same official document, consider merging them into a single template/source of truth. If they are intentionally different, document the legal and functional distinction and expose both consistently.
For many store owners, the primary document they look for from an order is the invoice. Requiring an extra confirmation-page step, while a separately customised Invoice template is not used by the normal download flow, is confusing and impractical.
Could the team clarify the intended workflow and consider simplifying this?
I've experienced the same confusion. Great feedback here. Hopefully they'll take it onboard.
jep, never understood the way this is handled....
Manuel Müller Thanks for sharing your thoughts too, Manuel!
I really hope we can get a proper fix for this.
I fully agree. Receipts in e-commerce do not make much sense depending on where you operate. In Germany, receipts are usually needed for cash transactions. Internationally, it seems to have a different meaning. These receipts are the main reason why I cannot use FluentCart. I already asked to make them optional, but I cannot even turn them off to replace them with my invoices solution.
Totally agree ! Shahjahan Jewel
Whatever changes, please Shahjahan Jewel and Rasel Siddiqe keep in mind FluentCart users who use Paddle, so who NEVER issue an invoice or a receipt from FluentCart. Only Paddle can issue a tax invoice/receipt, because only Paddle knows about the VAT, taxes amounts etc added or included in the amounts shown on the website.
We've had to designed custom confirmation emails titled order confirmation for our workflow, and ideally we'd like the choice to change the label on the confirmation page, so that it says View Order Confirmation and not View Order Receipt, which is confusing for our users as it's not a tax receipt. Please keep this use in mind, I don't think one workflow will work for everyone, so we need more flexibility, as requested by Jorge de los Reyes .
Also, talking about workflow, there is no way to change the label talking about a download link (singular), which doesn't make sense when the user has ordered one bundle that contains more than one download. In that case, they have more than one link on the confirmation page / email, one for each download.
Thanks!
Screenplay Unlimited Totally agree. In the end, as with many other invoicing platforms, users should be able to disable FluentCart’s invoice/receipt generation and use whichever accounting, invoicing, Merchant of Record, or external platform they prefer.
I think it was André Daus who also pointed out that this is currently blocking them from using FluentCart: they can’t rely on FC’s receipts, but they also can’t properly connect an external solution because FC generates them automatically...
A clarification and simplification, with flexibility, is much needed here. And it is affecting not only EU users, but also anyone using MoR or alikes 😅

The biggest reason I switched to FluentCart is its integration with Paddle.
Since I sell through a Swedish-based company, it is crucial that complex tax and receipt processes are handled smoothly, which makes using Paddle essential for me.
However, there is a conflict in the billing experience:
In FluentCart, the purchase receipt email sent after an order, along with the "download receipt" section in the customer dashboard, creates the impression that these are official documents to be used for accounting. In reality, Paddle sends the customer a legal invoice separately after a successful payment. This causes a lot of confusion.
To mitigate this, I had to add a notice to the Settings > Email Notifications > Purchase receipt to customer email stating: "This email is not an invoice; the official invoice will be sent separately by Paddle."
Furthermore, throughout the order process, customers are repeatedly shown "receipt" links. When customers access their dashboard, a "Download Receipt" button is also present within the order details.
For Paddle users, "Receipt" references and download areas should ideally be replaced with "Invoice" links that point directly to the customer's official invoice on Paddle (since Paddle already provides a dedicated and detailed customer portal for this).
Ideally, site owners using Paddle should have the option to completely disable or remove these internal "Receipt" elements from both the checkout process and the customer dashboard.
Özay Özdemir Typical issue when using a MoR without an option to disable the platform’s own receipt/invoicing system.
Adding to that the current ambiguity around some tax concepts and their proper use, I really hope the whole invoicing engine can be sorted out soon.
I definitely love FC. But cases like this (especially when you add the EU’s specific invoicing and compliance requirements) may take some time to fully address. I’m hopeful, though.
The thing is that regulatory deadlines are getting closer in several EU jurisdictions, so the window to properly test and adopt FluentCart for 2027 is getting smaller.
When invoicing, receipts and third-party/MoR integrations are involved, unclear document flows can quickly turn into accounting and compliance friction, especially at scale.
Hopefully this whole area gets some priority soon, because once the invoicing and compliance side is properly sorted out, I think FC will become much easier to adopt confidently in Europe 😄
The team is working non stop: that’s for sure 💪
Özay Özdemir Or, as I suggested, we should be able to call FluentCart Receipts "Order Confirmation", because that's what they are when using Paddle in FluentCart. That's what I called the custom notifications I created, and it also adds a similar notice telling them that the tax invoice/receipt is sent by Paddle.
That's fine, that's what custom notifications are for. I also replaced the INV prefix for the orders by REF, so that it doesn't suggest an invoice or a receipt.
As long as you make it clear that the FC documents are an order confirmation and that the tax invoice/receipt is sent from Paddle, I think the current workflow is fine for our Paddle workflow.
We just need to create custom confirmation, and ideally we should be able to change the button on the confirmation page and everywhere else so it shows Order Confirmation and not Receipt.
I don't think that pointing users outside of our website to the paddle document is a good idea. We are telling them that the notification we send them isn't a tax invoice/receipt, that paddle will send it to them, they can access their Paddle documents from the Paddle emails if they want to.
I think FluentCarts buttons should link to the fluentcart documents they can access from their account. I'd rather keep our user on our website than send them to Paddle, which can be confusing. You could remind them in their account page that a tax invoice was sent to them in an email from Paddle.
I also changed the INV prefix to #ORD and added a note in the email stating that the invoice will be sent by Paddle. Still, this does not prevent customer confusion. Let me walk you through the flow:
- When a customer completes a purchase, a "Download Receipt" link is clearly displayed on the screen. (See attached https://snipboard.io/VhX6oQ.jpg)
- In the customer dashboard under "Purchase History", there is another "Receipt" download link. (This should be an "Invoice" and contain a link to the Paddle invoice. See attached https://snipboard.io/XVjKN9.jpg)
- If the customer clicks the "Receipt" download link, the content (and the PDF) looks precisely like an official invoice, which is very confusing. Changing the
INVprefix to#ORDmakes no sense here. (See attached https://snipboard.io/bnyIFu.jpg)
Linking with Paddle
I agree with you that the customer dashboard shouldn't necessarily have raw links to Paddle (or any other payment gateway), and instead, it should fetch or manage the relevant data via the Paddle API.
However, the "Update Payment Method" link under "Subscription Plans > Overview" in the dashboard already redirects the user straight to their Paddle customer portal. (See attached https://snipboard.io/N3sTah.jpg)
Furthermore, when a customer clicks "Edit Billing Address", it does not link to Paddle. For instance, if a user wants to add their company details to their invoice, this information does not sync with the Paddle invoice. Yet, Paddle has a dedicated section in its customer portal where you can edit billing details and download invoices directly.
Instead of having these conflicting and confusing areas in the FluentCart customer dashboard that don't mesh well with Paddle, I would prefer FluentCart to simply redirect the user directly to the corresponding Paddle dashboard links. The Paddle customer portal is much clearer and easier for users to manage.
Fortunately, FluentCart opens this dashboard without requiring the user to log into Paddle separately.
Attached are some screenshots from the Paddle dashboard.

Hopefully, the Fluent Cart developers will do something about this and create a seamless purchasing and management system for both us and our users.
Özay Özdemir I see your point about updating payment details and billing address, but otherwise if the receipt you show your users looks like an invoice, it's because you haven't customised it. Mine says clearly "Order Confirmation" and states that it isn't a tax receipt, and that a tax receipt is sent by Paddle in a separate email. That's where users can get the link to download their receipt (and manage their payments detail).
What you are forgetting is that users can also purchase free products, in which case they still need to access the FC dashboard to see them and download any related document. This is why I wouldn't link the initial "View Receipt" button to Paddle, unless it's conditional to paid orders. I'd rather keep the user on our website, send them to their FC account so they can access all their purchases, download the free ones and if they need a receipt, if they need to change their billing address or their payment details for paid orders, click a link there to send them to the relevant Paddle area (or to that product on Paddle).
My short term solution is simpler to implement right away, and it doesn't require to code a different path for each checkout provider: Simply give us a way to replace the word "Receipt" everywhere it appears (as I already suggested) by anything we want (it would be "Order Confirmation" for me), and provide the information for users to get their Paddle tax invoice from the separate Paddle email in your custom emails or in the account page itself.
It would be nice if your longer term solution could be implemented in a cohesive workflow, as long as the user doesn't have to log into Paddle using different credentials. I don't really want the user to leave our website just after purchase, so I'd rather limit this to managing billing address, getting a tax receipt and updating payment details, as these are three legitimate reasons for leaving the website.
In any case, Fluent would need to take every Paddle users needs into account, and not code a path that works for one and not the others. That's why we need more flexibility, not a path for each specific user that might cause issues for others.
